Terms & Policies

International Trade Terms for Agricultural Sample Orders

I. Shipping & Logistics Policy

1.1 Incoterms® 2020 Standard

All international shipments are dispatched under the DAP (Delivered at Place) Incoterm.

Our Responsibility: We handle the export from Bangalore, pay for the international freight, and provide all standard export documentation.

Your Responsibility: You are responsible for unloading the goods and handling all import formalities, local duties, and taxes at the destination.

1.2 Shipping Rates & Volatility

Shipping charges are calculated based on the greater of Actual Weight or Volumetric Weight (L × W × H / 5000).

Due to global market volatility, a fuel surcharge is updated monthly and included in the final checkout price.

1.3 Delivery Timelines

Air Courier:5–10 Business Day

Sea Freight (LCL): 30–50 business days.

II. Global Customs & Compliance

2.1 Buyer’s Due Diligence

Agricultural products (Coffee/Spices) are subject to strict biosecurity laws. It is the Buyer’s sole responsibility to ensure the product is permitted for import in their country.

2.2 Mandatory Documentation

We provide the following as standard for all samples:

1. Commercial Invoice (marked “Trade Sample – Not for Sale”)
2. Packing List
3. Certificate of Origin

2.3 Specialized Certificates

Certifications such as Phytosanitary Certificates (India), FDA Prior Notice (USA), or EUDR Compliance (Europe) must be selected at checkout or requested via email. Additional processing fees apply.

III. Cancellation, Returns & Refunds

3.1 No-Return Policy on Agro-Products

Due to international food safety and biosecurity regulations, we do not accept physical returns of coffee or spices once they have cleared Indian customs. This prevents cross-contamination risks.

3.2 Cancellation

Orders can be cancelled within 24 hours of payment, provided the shipment has not been handed over to the courier. Once dispatched, cancellations are not permitted.

3.3 Non-Refundable Scenarios

Refunds will NOT be issued for:

  1. Packages seized or destroyed by customs due to a lack of buyer-side permits.
  2. Shipments returned because the buyer failed to pay local import duties.
  3. The buyer provided incorrect delivery addresses.

 

IV. Product Quality & Liability

4.1 Natural Product Variation

Coffee and spices are natural agricultural products. Variations in color, bean size, or aroma between batches are normal and do not qualify as “defective.”

4.2 Damage in Transit

If your package arrives physically damaged, you must:

  1. Note the damage on the courier’s delivery receipt.
  2. Send us photo/video evidence within 24 hours of delivery.

We will provide a replacement or credit for verifiable transit damage.

 

V. Payment & Currency Terms

5.1 Currency Conversion

All transactions are processed in INR. Prices shown in USD/EUR are estimates based on real-time exchange rates from our payment gateway (Stripe/PayPal). Your bank may charge an additional foreign transaction fee.

5.2 Payment for Samples

All sample orders (up to 25kg) must be prepaid 100% via the website portal. For bulk orders (>100kg), we accept Wire Transfer (T/T).
